All billing management happens in Settings > Billing within the Mavio web app. This page covers payment methods, invoices, plan changes, and common billing questions.

Payment methods

Adding a payment method

  1. Go to Settings > Billing > Payment methods.
  2. Click Add payment method.
  3. Enter your card details or connect a PayPal account.
  4. Click Save.
Mavio accepts Visa, Mastercard, American Express, and PayPal. Enterprise customers can pay by invoice (net 30).

Updating your payment method

  1. Go to Settings > Billing > Payment methods.
  2. Click Edit on the existing method.
  3. Update the details and save.
If your payment method fails, Mavio will retry the charge three times over 7 days. If all attempts fail, your account is downgraded to the Free plan. Your recordings and data are preserved for 30 days — upgrade and pay the outstanding balance to restore full access.

Invoices

Viewing invoices

All invoices are available in Settings > Billing > Invoices. Each invoice shows:
  • Invoice number and date
  • Plan name and billing period
  • Amount charged
  • Payment status (paid, pending, failed)

Downloading invoices

Click any invoice to view it, then click Download PDF. Invoices include your billing address and tax details for expense reporting.

Adding billing details

For invoices that need a company name, address, or VAT/tax ID:
  1. Go to Settings > Billing > Billing details.
  2. Enter your company information.
  3. Click Save.
These details appear on all future invoices. To update past invoices, contact support@mavioapp.com.

Your billing cycle resets your usage counters (recording hours, AI queries) for plans with limits.

Upgrading your plan

Go to billing

Navigate to Settings > Billing > Change plan.

Select the new plan

Choose Pro, Team, or Enterprise.

Confirm payment

Review the prorated charge and confirm. The prorated amount covers the remainder of your current billing cycle at the new plan rate.

Access new features

New features are available immediately after payment.

Downgrading your plan

  1. Go to Settings > Billing > Change plan.
  2. Select the lower plan.
  3. The change takes effect at the end of your current billing period.
  4. You retain access to all current-plan features until the period ends.
When downgrading from a Team plan, ensure your team size fits within the new plan’s limits. If you are moving from Team to Pro, team features will be disabled and all members except the owner will lose access to team recordings.

Cancelling your subscription

  1. Go to Settings > Billing > Cancel subscription.
  2. Select a reason (optional — helps us improve).
  3. Confirm cancellation.
After cancellation:
  • Your plan remains active until the end of the current billing period.
  • Your account reverts to the Free plan.
  • All recordings, transcripts, and data are preserved.
  • You can re-subscribe at any time to regain access to paid features.

Adding or removing team seats

For Team and Enterprise plans:

Adding seats

  1. Go to Settings > Team > Members > Invite.
  2. Invite new members. Each new member adds a seat to your billing.
  3. You are charged a prorated amount for the remainder of the billing cycle.

Removing seats

  1. Remove members from your team in Settings > Team > Members.
  2. The seat is removed at the end of the current billing period.
  3. Your next invoice reflects the reduced seat count.

Refund policy

  • Annual plans: Full refund within 14 days of purchase or renewal.
  • Monthly plans: No partial refunds. Cancel before the next billing date to avoid charges.
  • Enterprise: Refund terms per your contract.

Tax information

Mavio charges applicable sales tax or VAT based on your billing address. Tax-exempt organizations can provide exemption certificates by contacting support.
Tax is determined by your billing address. Mavio collects and remits sales tax or VAT where required by law. Update your billing address in Settings > Billing > Billing details.
