This guide walks you through recording your first meeting and getting an AI summary with action items. The entire process takes less than five minutes.

Prerequisites

  • A Mavio account — sign up free
  • A scheduled or ad-hoc meeting on Zoom, Google Meet, or Microsoft Teams

Step-by-step setup

Create your account

Go to mavioapp.com/signup and sign up with your email or Google account. Verify your email if prompted. You will land on the Mavio dashboard.

Connect your calendar

From the dashboard, navigate to Settings > Integrations > Google Calendar and click Connect. Authorize Mavio to read your calendar events. Once connected, your upcoming meetings will appear in the Mavio sidebar.
Calendar sync is optional but recommended. It lets Mavio auto-join meetings without any manual action.

Enable auto-join

In Settings > Recording, toggle Auto-join meetings to on. Select which calendar events Mavio should join — you can choose all meetings or only those matching specific criteria (e.g., external calls, 1:1s, or meetings with a minimum number of attendees).

Record your meeting

Start or join your next scheduled meeting as you normally would. The Mavio bot will appear as a participant named Mavio Notetaker within the first 30 seconds.
First-time participants may see a notification that a recording bot has joined. This is normal and expected — Mavio respects each platform’s recording consent policies.
If you prefer to record manually, click Record now on any meeting card in the Mavio dashboard and paste the meeting link.

Review your AI notes

After your meeting ends, Mavio processes the recording. Within two to five minutes you will have:
  • Full transcript with speaker labels and timestamps
  • AI summary with key topics, decisions, and context
  • Action items with assignees extracted from the conversation
  • Searchable recording you can play back with synced transcript

Make sure your meeting platform allows recording bots. Some organizations restrict third-party participants — check with your IT admin if the bot cannot join.
