The Mavio mobile app lets you record in-person meetings, review past recordings, manage action items, and chat with Mavio AI — all from your phone.

Getting the app

  • Requirements: iOS 16 or later
  • Search Mavio Meeting Notes in the App Store, or visit mavioapp.com/download
  • Tap Get, then open and sign in

What you can do on mobile

Record in-person meetings

Tap the Record button to capture ambient audio using your phone’s microphone. The app applies noise reduction and automatic gain control for clear recordings in real-world environments.
Place your phone in the center of the table with the bottom edge (where the microphone is) pointing toward the group for best results.

Review recordings

Browse your full meeting library sorted by date. Each recording shows:
  • Meeting title and duration
  • Participant names
  • Summary preview
  • Action item count
Tap any recording to view the full transcript, play back audio with synced text, and read the AI summary.

Manage action items

The Action Items tab shows all your assigned tasks across meetings. Mark items complete, edit details, or dismiss false positives — all from your phone.

Chat with Mavio AI

Open Mavio AI from the bottom navigation to ask questions about any meeting. Full conversation history is available on mobile.

View upcoming meetings

See your calendar-synced upcoming meetings and toggle the Mavio bot on or off for each one.

Background recording

Enable background recording in Settings > Recording > Continue in background so recordings persist when you switch apps or lock your screen. On iOS, a red status bar or Dynamic Island indicator shows that the microphone is active. On Android, a persistent notification indicates the ongoing recording.
Background recording consumes battery. For meetings longer than 2 hours, keep your device charged or plugged in.

Notifications

The mobile app sends push notifications for:
  • New meeting notes ready (summary and transcript processed)
  • Action items assigned to you
  • Upcoming meetings about to start
  • Recording upload completed (after offline recording)
Configure notification preferences in Settings > Notifications.

Recordings made offline are queued and automatically uploaded when your device reconnects. Processing begins after upload completes.

Recordings upload over Wi-Fi by default. To enable upload over cellular, go to Settings > Recording > Upload over cellular.

Advanced features

Background recording lets the app continue capturing audio when it is not in the foreground. Enable it in Settings > Recording > Continue in background.How it works on each platform:
  • iOS — the app uses a background audio session. A red status bar or Dynamic Island pill indicates the microphone is active. iOS may terminate background audio after an extended period if the device is under extreme memory pressure, but this is rare.
  • Android — the app runs a foreground service with a persistent notification. This ensures the OS does not kill the recording process. The notification shows elapsed time and provides pause/stop controls.
Test background recording before relying on it in an important meeting. Start a recording, switch to another app for a few minutes, then check the playback to confirm audio was captured continuously.
The app supports recording from Bluetooth audio devices including AirPods, headsets, and conference speakers:
  1. Pair your Bluetooth device with your phone through system settings.
  2. Open the app and go to Settings > Recording > Audio input.
  3. Select your Bluetooth device from the list.
If the Bluetooth device disconnects during a recording, the app automatically falls back to the built-in microphone and continues recording without interruption. A notification alerts you to the device switch.
Bluetooth audio quality varies by device. For best results, use devices that support the AAC or aptX codec. The built-in microphone often produces better results for room recording than compact Bluetooth earbuds.
Recording audio consumes battery. Here are ways to maximize battery life during long recordings:
  • Use standard quality (16 kHz) instead of high quality (44.1 kHz) — standard uses significantly less processing power.
  • Disable live transcription if you do not need real-time text during the meeting. This reduces network usage and CPU load.
  • Keep the screen off — background recording works with the screen locked, which saves the most battery.
  • Avoid Wi-Fi uploads during recording — set uploads to occur only after recording stops in Settings > Recording > Upload timing.
  • Plug in for long meetings — for recordings over 2 hours, connect to a charger.
Typical battery consumption: approximately 5-8% per hour with standard quality and screen off, or 10-15% per hour with high quality and live transcription enabled.
Record without any internet connection. The app stores audio locally on your device:
  • Recordings are saved in a compressed format to minimize storage usage.
  • When connectivity returns, the app uploads recordings automatically in the background.
  • Upload progress is visible in Settings > Recording > Upload queue.
  • Wi-Fi-only upload is enabled by default. Toggle cellular upload in Settings > Recording > Upload over cellular.
Offline recordings do not have transcripts or summaries until they are uploaded and processed. Once upload completes, processing begins automatically and you receive a push notification when notes are ready.
Customize home screen widgets for quick access:iOS:
  1. Long-press your home screen and tap the + button.
  2. Search for the app and choose a widget size (small, medium, or large).
  3. Available widgets: Quick Record (one-tap start), Next Meeting (upcoming event with recording toggle), Action Items (open task count).
Android:
  1. Long-press your home screen and select Widgets.
  2. Find the app widgets and drag one to your home screen.
  3. Available widgets: Quick Record (one-tap start), Upcoming Meetings (next 3 events with auto-record toggles).
Widgets update in near real-time and respect your notification and recording preferences.

You can also set quiet hours to suppress all notifications during specific times (e.g., evenings and weekends). Go to Settings > Notifications > Quiet hours and set your preferred schedule.
